Your Role …

The Executive, Finance and Operations Associate (EFOA) will provide administrative and clerical support to the Executive Department including the Executive Director and the MDFS and MDO, to help further the Council’s mission. The EFOA will also provide support to the Finance Manager as needed.  

As with all positions at the Council, this position requires commitment to the Council’s mission and the organization’s culture of philanthropy. 

Essential Job Functions

Responsibilities include, but are not limited to:

Executive/Operations

  • Anticipate and understand the needs of the Executive team. 
  • Update Council wide calendar and coordinate Council wide communications.  
  • Prepare meeting agendas, minutes, note taking, and follow-ups as necessary. 
  • Responsible for scheduling and meeting logistics and meet and greet all visitors meeting with the Executive Director, MDFS and MDO 
  • Assist in managing Executive Director’s relationship with Board and Senior Staff. 
  • Assist with preparing board meeting materials and other related documents. 
  • Manage board meeting logistics, in coordination with the Office Coordinator. 
  • Coordinate agendas and events with AILA and senior staff. 
  • Provide administrative support to board members, committees, and working groups as necessary.  
  • Draft correspondence; maintain electronic and paper files including faxing, copying, and mailing courier packages. 
  • Prepare documents, PowerPoint presentations and other presentations 
  • Copyedit and format executive team correspondence, presentations and grant proposals 
  • Perform other duties and projects as assigned.  

Finance:  

  • Support the Finance Manager with inputting transactions into QuickBooks regarding credit card expenses, payments and other transactions. 
  • Process and mail donation checks to Council’s lockbox and provide copies to Development Assistant. 
  • Perform other duties and projects as assigned. 

Required Education and Experience

  • Undergraduate degree with a minimum of one year of experience in an administrative position or 3 years commensurate experience is required. Confidentiality and discretion are necessary.   
  • Computer skills: Proficiency in Microsoft Word and Excel essential
